Event Hotel Accommodation in Italy

Delegate room blocks timed to your conference or event programme — with cut-off dates, a managed rooming list and hotels close to the venue.

The essentials

Timing
The cut-off date is set against the programme, not a fixed number of days, so it moves if the event date changes
Venue proximity
We prioritise hotels within walking distance or a short shuttle ride of the venue
Rooming list
A single list mapped to delegate names, with updates managed centrally rather than by each traveller
Overflow
A second or third hotel is held in reserve once the primary block reaches its attrition limit

What's included

  • Room-block proposals from hotels near the venue
  • Cut-off date and attrition terms aligned to the event programme
  • Rooming-list management and delegate change requests
  • Shuttle transport between hotels and the venue
  • One invoice alongside the rest of the event budget

Why event hotel blocks need their own approach

A conference room block is different from a leisure group booking: dates rarely move once a venue is confirmed, delegates book at different times as registrations come in, and the hotel needs to know how many rooms to release if the block is not full by the cut-off. We manage that cut-off actively — not just at signing, but in the weeks before the event, when it matters most.

Working alongside your PCO or event agency

If a professional conference organiser or event agency runs your registration system, we plug the accommodation and shuttle piece into their programme rather than duplicating it, and report block status to whoever needs it.

Frequently asked questions

How close to the venue are the hotels?

As close as budget and availability allow; we always show the walking or shuttle time in the proposal.

Can you manage the block if registrations run past the cut-off?

Yes — we can request an extension or add an overflow hotel if the block is filling.

Do you also run the delegate shuttles?

Yes, on the same booking, timed to the session schedule rather than a fixed timetable.
